Payment processing for franchise salons: A multi-location playbook
Single-location salon owners can ignore most of the operational complexity in payment processing. The MID is the salon. The bank account is the salon's. The tax filings are the salon's. End of story.
Franchise salon groups don't have that luxury. They have multiple locations, often multiple legal entities, sometimes a mix of franchisor-owned and franchisee-owned units, brand-consistent customer experience requirements, and royalty / management fee flows that need to settle correctly. Most generic payment processors handle this badly, or just refuse to deal with it at all.
This post is for salon groups going from one location to many, or for franchise concepts being built from the ground up. It covers the structural decisions that matter, the operational requirements, and the questions to ask any processor evaluating you.
The core structural decision: separate MIDs vs. one MID
Every multi-location salon has to decide whether each location processes under its own merchant ID (MID) or whether one MID processes for all locations.
One MID across locations is simpler operationally. One contract. One statement. One set of compliance obligations. Smaller groups (2-3 locations under common ownership) often start here.
Separate MIDs per location is cleaner accounting. Each location's revenue, fees, and chargebacks are isolated. This matters for franchise groups because each location may be its own legal entity (LLC), each may have different ownership splits, each may need separate tax reporting. Separate MIDs also let you compare unit economics across locations cleanly, same processor, same pricing, different volumes.
For any group with three or more locations, or any group where locations are owned by different LLCs or franchisees, separate MIDs is the right answer. The operational overhead of managing multiple MIDs is small compared to the accounting clarity it provides.
A good processor lets you have separate MIDs while still rolling up reporting at the group level. You see each location's data isolated, but you also have a "group view" that aggregates total volume, average ticket, top stylists, and other metrics. You don't want to manually combine spreadsheets from three or fifteen locations.
What rolled-up reporting needs to do
A multi-location dashboard at minimum should:
- Show all locations in a single view with the option to drill into any one
- Compare unit economics side by side (volume, average ticket, no-show rate, chargeback rate)
- Show stylist performance across the group (which top performers, which locations need staffing help)
- Calculate franchise royalties or management fees automatically (if the structure includes them)
- Export to your accounting system cleanly per-location and rolled up
A processor that gives you per-location data but doesn't aggregate it is making you do the aggregation yourself. For a group with three locations, that's annoying. For a group with fifteen, it's a part-time job.
The franchisor-franchisee question
If the group is a franchise (not just a multi-location group under common ownership), there are additional considerations.
Who holds the merchant agreement? Each franchise unit's MID is typically held by the franchisee (the local owner-operator), not the franchisor. The franchisee is the merchant. The franchisor provides brand standards and back-office support.
How do royalties flow? Royalties are typically a percentage of franchisee revenue, paid weekly or monthly to the franchisor. Some franchise systems handle royalty collection separately (ACH from franchisee bank account on a schedule). More sophisticated setups can do royalty splits at the transaction level, every credit card sale automatically routes a configurable percentage to the franchisor's account at settlement.
The latter is much cleaner: no ACH disputes, no missed royalty payments, no quarter-end reconciliation. But it requires a processor that supports payment splitting, which most don't.
Brand consistency at checkout. Customers visiting different units of the same franchise brand should have a similar checkout experience, same receipt format, same loyalty program, same gift card acceptance. A patchwork of different processors across units undermines brand consistency.
Centralized risk and chargeback management. When a chargeback hits one unit, who fights it? In a typical franchise model, each franchisee handles their own chargebacks, but most franchisees don't have the expertise. Sophisticated franchise groups have a centralized chargeback team (at the franchisor or shared services level) that fights disputes across all units.
Multi-entity accounting: the part that breaks most processors
Here's where most generic processors fall apart for franchise groups.
In a franchise structure, you might have:
- A franchisor entity (the brand and IP holder)
- A franchisor-owned operating unit (the corporate-owned salon)
- Multiple franchisee LLCs (each owning one or more units)
- A management services entity (providing centralized back-office support)
- A real estate holding entity (owning the building, leasing to the operating units)
Each entity has its own books, its own bank account, its own tax ID. Payment processing has to settle correctly into the right entity for each transaction.
For example: a customer pays $100 at a franchisee-owned salon. Of that $100:
- $97 settles into the franchisee LLC's operating account (after a 3% processing fee, simplified for illustration)
- The franchisor takes 6% royalty on the $100, that's $6 that needs to flow to the franchisor entity
- The salon's local manager gets a small bonus on transactions over $80, $0.50 needs to be tracked for that
A processor that just settles $97 to the franchisee and lets them figure out the rest is creating a manual reconciliation problem at the end of every month. A processor that handles transaction-level splits, settling $91 to the franchisee, $6 to the franchisor, and tracking the manager bonus, is doing real franchise infrastructure.
The brand consistency problem
When a customer visits two locations of the same franchise brand, they should have a similar experience. Same receipt design. Same loyalty program. Same gift card acceptance. Same booking flow.
If each location has its own POS provider and each provider is different, customers get a fractured experience, and the brand looks unprofessional. This is one of the strongest arguments for centralizing payment processing across a franchise group on a single platform.
A centralized platform also makes it easier to roll out brand-wide initiatives. Want to launch a new loyalty program? Push it to all locations simultaneously. Want to update receipt design? Same. Want to A/B test a new checkout flow? Cleanly testable across the group.
Questions to ask any processor evaluating your group
Five questions to ask any processor pitching a multi-location or franchise salon group.
One. Do you support separate MIDs per location with rolled-up reporting? Show me the dashboard view.
Two. Can you handle transaction-level payment splits (e.g., royalty routing)? If yes, walk me through how it's configured.
Three. What's the underwriting process for adding a new location? How long does it take? Can existing franchisees onboard quickly when they expand?
Four. How do you handle chargebacks across a franchise structure? Do you support centralized dispute management?
Five. What happens when a franchisee leaves the system (sells, closes, or transfers ownership)? How does the MID transfer work?
If a processor can't answer those clearly, they don't actually have multi-location or franchise infrastructure, they have a single-merchant product they're trying to sell to multi-location merchants.
